Landqart: With M365 to a modern workplace

By modernising its IT strategy, automating its workflows and making targeted use of change and adoption measures, Landqart AG is benefiting from enhanced digital collaboration, as not only the infrastructure but also the way its staff work and think has been (partly) digitised.

Starting point was a detailed catalog of requirements based on a cloud readiness workshop

By modernizing its IT strategy in terms of collaboration, communication and cooperation, Landqart began its journey towards a modern workplace, identifying optimization potential in its infrastructure as well as collaboration and incorporating it into a comprehensive catalog of requirements. Starting point for this journey was a cloud readiness workshop, which highlighted that collaboration was hindered by the existing tools, the solutions were siloed and subject to many restrictions, resulting in many redundant versions and files. novaCapta supported Landqart as an experienced partner for all aspects of Microsoft. 

Even before the introduction of M365, Change & Adoption was a key topic for Landqart. The aim was not only to introduce new tools, but also to modernize their entire way of working. Involving employees was therefore an important aspect of the project. Landqart already began this as early as the workshop phase and nominated 15 key users from various departments in order to incorporate their requirements at an early stage.
During the change management process, employees were provided with various materials such as training courses and explanatory videos. In addition, a central SharePoint site was created on which all project information and materials were centralized. In order to reach the employees even better, a contact person from novaCapta was also appointed to provide even more flexible and direct support to the employees on site. “Before the introduction of M365, we were not very “digitalized” and still thought very much in terms of folder structures. Our way of working has changed with the modernization. We think in terms of “search functions”. It was important for us to support the change to a digital mindset in the best possible way,” explains Mariano Di Spirito, Head of ICT, Landqart AG.

For the migration from on-premises to the M365 cloud, novaCapta supported Landqart in its migration from file server and on-prem SharePoint. Before the data migration to the Microsoft cloud, the infrastructure was set up, including the necessary security measures. The roll-out took place gradually: once the Office suite had been updated, the new mail system was rolled out and the departments were onboarded to Teams one by one.
Together with M365 and Microsoft Teams, novaWorxx was introduced at Landqart. The governance tool creates automated and standardized Team structures to promote recognition and a positive user experience. MS Teams acts as a central collaboration hub where projects and collaboration take place. The automations within Teams are additionally carried out using Power Automate workflows. 

In addition to Power Automate, Power Apps and Power BI were introduced. Landqart defined relevant use cases, while novaCapta implemented them. These included an idea management, a production logbook, an investment request process and a destruction application that automates the disposal after project completion. The aim was to map the organization profitably and support it with automation. The great interest in Power Platfrom within the company shows that the implementation was the right step towards digitalization.
